Booking Terms & Conditions
By making a booking with ZG Executive Transport, you ("the Client") agree to be bound by the following Terms and Conditions. Please read them carefully before confirming your reservation.
1. Bookings & Confirmations
1.1 Booking Confirmation
A booking is only confirmed once full payment has been received and a booking confirmation email has been sent to the Client's nominated email address. ZG Executive Transport reserves the right to decline any booking at its discretion.
1.2 Accurate Information
The Client is responsible for providing accurate pickup and drop-off addresses, date, time, passenger numbers and any special requirements at the time of booking. ZG Executive Transport accepts no liability for delays or failed pickups resulting from incorrect information provided by the Client.
1.3 Booking Reference
Upon confirmation, the Client will receive a unique booking reference number. Please retain this for your records and quote it in any correspondence with ZG Executive Transport.
2. Payment
2.1 Payment in Full
Full payment is required at the time of booking to secure your reservation. No booking is held without payment.
2.2 Accepted Payment Methods
ZG Executive Transport accepts VISA, Mastercard, American Express, Apple Pay and Google Pay via Square secure payment processing. All transactions are encrypted and PCI DSS compliant.
2.3 Pricing
All prices quoted are in Australian Dollars (AUD) and are inclusive of GST where applicable. Prices are calculated based on distance, duration and service type.
2.4 Tolls
All road toll charges are included in the quoted price. The Client will not be charged additional fees for tolls encountered during the journey.
2.5 Surcharges
Additional surcharges may apply for:
- Public holidays — a 25% surcharge applies to all bookings on Australian public holidays
- Late night pickups between 11:00 PM and 5:00 AM — a 15% surcharge applies
- Additional stops not included in the original booking
- Extended waiting time beyond the included allowance (see Section 4)
3. Cancellations & Refunds
3.1 Free Cancellation Period
Cancellations made more than 24 hours prior to the scheduled pickup time will receive a full refund with no cancellation fee applied.
3.2 Late Cancellations
Cancellations made within 24 hours of the scheduled pickup time will incur a cancellation fee of 50% of the total booking amount. The remaining 50% will be refunded to the original payment method within 5–7 business days.
3.3 No-Show
If the Client fails to appear at the designated pickup location within the included waiting time and has not contacted ZG Executive Transport, the booking will be treated as a no-show. No refund will be issued for no-show bookings.
3.4 How to Cancel
To cancel a booking, the Client must contact ZG Executive Transport by phone or email, quoting the booking reference number. Cancellation requests are only valid when acknowledged in writing by ZG Executive Transport.
4. Wait Time & Punctuality
4.1 Complimentary Wait Time
10 minutes of complimentary wait time is included with every booking, commencing from the scheduled pickup time.
4.2 Exceeded Wait Time
If the Client has not arrived or made contact with the driver within the 10-minute complimentary wait period, the booking will be cancelled and no refund will be issued.
4.3 Airport Pickups
For airport transfers, the 10-minute complimentary wait time commences from the time the Client's flight is confirmed as landed, not the scheduled landing time. ZG Executive Transport monitors flight arrivals in real time to account for delays.
4.4 Client Running Late
If the Client anticipates being late, they must contact ZG Executive Transport or the driver directly as soon as possible. Extended waiting may be accommodated at the driver's discretion and may incur additional charges.
5. Client Conduct & Right to Refuse Service
5.1 Code of Conduct
All Clients and passengers are expected to behave in a respectful, lawful and considerate manner towards ZG Executive Transport drivers and vehicles at all times.
5.2 Zero Tolerance Policy
ZG Executive Transport operates a strict zero tolerance policy towards abusive, threatening, discriminatory, intoxicated or otherwise inappropriate behaviour, including:
- Verbal abuse, threats or harassment directed at the driver
- Physical aggression or intimidation
- Discrimination based on race, gender, religion, sexuality or any other characteristic
- Excessive intoxication that poses a risk to the driver or vehicle
- Illegal activity of any kind during the journey
5.3 Right to Cancel
ZG Executive Transport reserves the right to terminate any journey immediately and retain the full booking amount if a Client or any passenger engages in conduct described in Section 5.2.
5.4 Right to Decline
ZG Executive Transport reserves the right to decline a booking or refuse service to any person at its sole discretion.
6. Vehicle & Property
6.1 Vehicle Care
Clients are responsible for any damage caused to the vehicle by themselves or their passengers during the journey.
6.2 Smoking & Vaping
Smoking, vaping and the use of any tobacco or nicotine products is strictly prohibited inside all ZG Executive Transport vehicles. A cleaning fee of $250 will apply for any breach of this policy.
6.3 Food & Beverages
Consumption of food inside the vehicle requires prior approval. Non-alcoholic beverages in sealed containers are permitted. A cleaning fee may apply for any spillage or soiling.
6.4 Lost Property
ZG Executive Transport takes no responsibility for personal items left in the vehicle. If lost property is identified, the Client will be notified and may arrange collection at a mutually convenient time.
6.5 Passenger Capacity
The number of passengers must not exceed the stated capacity of the vehicle. The driver reserves the right to refuse travel to excess passengers for safety and legal compliance reasons.
6.6 Seatbelts
All passengers are required to wear seatbelts at all times during the journey.
7. Liability & Force Majeure
7.1 Limitation of Liability
ZG Executive Transport's liability to the Client is limited to the value of the booking. ZG Executive Transport accepts no liability for indirect, consequential or special damages arising from the provision of its services.
7.2 Traffic & Delays
ZG Executive Transport will make every reasonable effort to ensure punctual pickup and delivery. However, ZG Executive Transport accepts no liability for delays caused by traffic conditions, accidents, road closures, adverse weather or other circumstances beyond its reasonable control.
7.3 Force Majeure
ZG Executive Transport shall not be liable for failure to perform its obligations where such failure is caused by events beyond its reasonable control, including natural disasters, acts of government, pandemics, extreme weather, or civil unrest. In such cases, a full refund will be provided.
8. Privacy
8.1 Data Collection
ZG Executive Transport collects personal information (name, email, phone number and journey details) for the purpose of processing bookings and providing its services. This information will not be sold or shared with third parties except as required to process payment or as required by law.
8.2 Communication
By providing your email address, you consent to receiving booking confirmations, journey reminders and service-related communications from ZG Executive Transport. You may opt out of marketing communications at any time.
9. Governing Law
These Terms and Conditions are governed by the laws of Queensland, Australia. Any disputes arising under these terms shall be subject to the exclusive jurisdiction of the courts of Queensland.
10. Amendments
ZG Executive Transport reserves the right to amend these Terms and Conditions at any time. Updated terms will be published on the ZG Executive Transport website. Continued use of our services following any amendment constitutes acceptance of the updated terms.
